Sweden invoice requirements: the practical points to check before sending
A Swedish invoice needs more than a customer name and total. The invoice number belongs to a unique sequence, seller and buyer identity need to be clear, VAT registration and VAT-number presentation matter, service sellers may need F-tax wording, and foreign-currency VAT can require a second VAT amount in the business's accounting currency.

Seven Swedish invoice topics worth checking
Use this as a practical checklist, then follow the official sources linked below for the rules that apply to your business and transaction.
| Topic | Source-based principle | InvoiceCraftly |
|---|---|---|
| Invoice number | Unique sequential number from one or more series | Keeps Swedish invoice numbers in a controlled sequence and prevents silent restarts |
| Seller & buyer | Full names and addresses on a full invoice | Dedicated seller and customer fields, plus Swedish company lookup for supported public details |
| VAT | VAT registration numbers and VAT details where applicable | Explicit VAT-registration and VAT-number fields; VIES is available for eligible EU VAT-number checks |
| Limited company | Registered name, organisation number and municipality of registered office | Sweden-specific company fields and Företagssök by organisationsnummer |
| F-tax | Current guidance calls for F-tax wording for service sellers | Shows F-tax wording when you record that the seller is approved for F-tax |
| Foreign currency | VAT also in accounting currency where Swedish VAT is payable | Calculates a separate VAT amount in SEK or EUR from the documented rate details you enter |
| Public e-invoice | Structured electronic invoice where procurement law applies | EN 16931 / UBL XML export is available in beta; Peppol BIS delivery is a separate workflow |
1. Invoice numbering: use a unique sequential number from one or more series
Chapter 17 of Sweden's VAT Act requires a full invoice to carry a unique sequential number based on one or more series that identifies the invoice. Verksamt describes the practical sequence as unbroken through the financial year.
Keep the invoice number in the sequence you actually use rather than treating it as an ordinary text field that can be freely replaced after allocation.
How InvoiceCraftly helps: the Sweden workflow keeps invoice numbers in a controlled sequence. When you begin, you can establish whether the series is new or continues existing records. If the previous sequence is unavailable, InvoiceCraftly asks you to restore or confirm it before continuing instead of quietly starting again.

2. What an ordinary full invoice normally contains
The reviewed ordinary full-invoice rule set covers issue date, sequential number, seller and buyer identity, relevant VAT registration numbers, description and quantity/scope of goods or services, delivery/completion date when applicable, taxable base, unit-price/discount information, VAT rate, and VAT amount.
Some transactions require additional VAT wording or special handling, such as reverse charge or other special regimes. Use the transaction facts and applicable guidance to determine that treatment; the invoice fields and readiness checks help you make sure the resulting document contains the information you intend to show.
3. VAT registration and VAT numbers are separate from the tax rate
A line carrying 25%, 12%, or 6% VAT does not by itself establish the seller's registration status or which treatment applies. Record the seller's VAT-registration status and VAT number explicitly when relevant.
InvoiceCraftly formats the Swedish VAT number you enter, and the VIES VAT checker can check eligible EU VAT numbers against the European Commission service. Use the result together with the transaction details when reviewing VAT treatment.
4. Swedish limited companies need registered-office and company details
Bolagsverket states that an aktiebolag's business documents such as invoices include the full registered company name, organisation number, and municipality of the registered office. Public-company wording and liquidation/bankruptcy status can add presentation requirements.
InvoiceCraftly provides Sweden-specific company fields for these details. You can also use Företagssök to look up supported public company details by organisationsnummer, review them, and start an editable Swedish invoice.

5. F-tax: record the seller's status when it applies
Current Verksamt guidance says a seller of services should state that the business is approved for F-tax on the invoice. When that applies to you, record the seller's F-tax status and InvoiceCraftly can show Godkänd för F-skatt on the document.
If you are unsure whether the work or seller status requires this wording, check the applicable Swedish guidance before sending the invoice.
6. Foreign-currency invoices: VAT reporting currency can be SEK or EUR
Swedish invoices may use another invoice currency. Where Swedish VAT is payable, the VAT amount must also be expressed in Swedish kronor. If the business keeps its accounts in euros, the corresponding VAT amount is instead also expressed in euros.
Set the business's accounting currency to SEK or EUR and record the exchange-rate details used for the transaction. When the invoice currency differs, InvoiceCraftly can calculate the separate VAT amount in the accounting currency from the rate, date and source you provide.
Skatteverket's guidance describes permissible conversion methods and the relevant conversion date. Confirm the method, date and rate that apply to your transaction.

7. PDF and public-sector e-invoicing are different workflows
Sweden's law on electronic invoices resulting from public procurement applies to structured electronic invoices in covered procurement flows. DIGG's current framework uses Peppol registration for public receiving entities.
InvoiceCraftly can export an EN 16931 / UBL XML invoice file in beta when the required details are ready. That export is a structured invoice file, but recipient-specific Peppol BIS requirements and Peppol network delivery remain separate steps. If the recipient requires Peppol delivery, use a compatible e-invoice service or access point.

How InvoiceCraftly helps with the Swedish invoice workflow
The Sweden invoice generator includes Swedish company and VAT fields, F-tax support, controlled numbering, and accounting-currency VAT handling. Företagssök can help fill public customer details before you create the invoice.
For structured invoicing, the EN 16931 / UBL XML beta export can create a downloadable file when the invoice is ready. Complete any recipient-specific Peppol BIS validation and network delivery through the service required by your customer or procurement process.
Frequently asked questions
What are the invoice-number requirements in Sweden?
A full Swedish invoice uses a unique sequential number based on one or more series. Keep the number in the controlled series you use for your records.
If a Swedish invoice is in EUR, must VAT also be shown in SEK?
When Swedish VAT is payable, VAT must also be expressed in the issuer's accounting currency. That is normally SEK, but if the business keeps its accounts in EUR the corresponding VAT amount is instead also stated in EUR.
Does a Swedish service invoice need F-tax wording?
Current Verksamt guidance says a service seller should state that the business is approved for F-tax. Record that status when it applies to the seller and transaction.
Is a PDF invoice the same as a Swedish public-sector e-invoice?
No. InvoiceCraftly can export EN 16931 / UBL XML in beta, while Peppol BIS requirements and network delivery remain separate steps when the recipient requires them.
Can I find Swedish company details before creating the invoice?
Yes. Use Företagssök to look up supported public company details by organisationsnummer, review the result, and start an editable invoice.
